1. Bookings & Payments
- All bookings are subject to availability and confirmation.
- A booking is only secured once the agreed deposit or full payment has been received.
- Final balances must be paid no later than ONE WEEK before the event, unless otherwise agreed in writing.
- Prices shown on the website are starting prices and may vary depending on location, duration, and event requirements.
2. Cancellations & Changes
Customer Cancellations
- Cancellations made more than 7 days before the event may be eligible for a refund of payments made, minus any non-recoverable costs.
- Cancellations made within 7 days of the event are non-refundable.
- If you need to reschedule, we will do our best to accommodate, subject to availability.
PlayBFAM Cancellations
- In the unlikely event that PlayBFAM needs to cancel due to unforeseen circumstances, a full refund will be provided or the event rescheduled.
3. Event Requirements & Venue Responsibility
- The client is responsible for ensuring the venue is suitable, safe, and has adequate power supply for the equipment.
- Clear access, safe flooring, and sufficient space must be provided.
- PlayBFAM reserves the right to delay or stop an event if the environment is deemed unsafe for participants or equipment.
4. Supervision & Behaviour
- PlayBFAM provides structured supervision of gameplay, but overall responsibility for children remains with parents, carers, or the booking organisation.
- Children must follow instructions given during the event to ensure safety and fairness.
- PlayBFAM reserves the right to remove any participant whose behaviour is unsafe, disruptive, or inappropriate. No refunds will be given in such cases.
5. Equipment Use & Damage
- All equipment remains the property of PlayBFAM.
- Any deliberate or negligent damage caused by participants may be charged to the booking customer.
- Food and drinks must be kept away from gaming equipment at all times.
6. Health & Safety
- Participants take part at their own risk.
- Certain activities (including VR experiences) may not be suitable for all ages or individuals.
- Any known medical conditions, sensory sensitivities, or additional needs should be disclosed in advance where possible.
- PlayBFAM is not responsible for pre-existing conditions aggravated during participation.
7. VR Experiences (Where Applicable)
- VR sessions are fully supervised and run in short, managed rotations.
- VR is recommended for children aged 8+ (10+ preferred).
- Participants may opt out at any time.
- Headsets are cleaned between users.
- PlayBFAM reserves the right to refuse VR participation if it is deemed unsuitable or unsafe.
8. Photography & Content
- PlayBFAM may capture general atmosphere content (e.g. setup, screens, wide shots) for promotional use.
- We do not intentionally film or photograph identifiable children without appropriate consent.
- If you do not wish for any content to be captured, this must be stated in advance.
9. Liability
- PlayBFAM holds public liability insurance.
- We are not responsible for loss, damage, or injury caused by misuse of equipment, failure to follow instructions, or circumstances outside our control.
- Personal belongings are the responsibility of attendees.
10. Force Majeure
PlayBFAM will not be held liable for delays or cancellations caused by events beyond our control, including but not limited to extreme weather, power failure, or venue closure.

These Terms & Conditions are governed by the laws of England and Wales.
